Work Orders Management
The Work Orders Management process in Nettware is designed to streamline the surveying, planning, execution, tracking and billing of repair services for reactive, quotes and inspection works carried out at client sites or internal locations.
This process covers a complete operational workflow—from assessment to delivery, purchasing, execution, and invoicing.
From Initial Site Survey / Inspection
Create a Survey or initial Site Visit entry. Capture:
Property details
Access info
Photos and notes
Initial asset or condition assessments
Assign a technician or estimator to record findings.
Prepare Work Quotations
Based on the survey, generate a Work Quote or Sales Estimate:
Add services, labour, and materials
Bundle products/services as needed
Include valid dates, terms, and optional notes
Send to client for approval, tracked in-platform.
Once approved, it can be converted into:
Sales Order
Work Order
Or both
Work Order Creation & Scheduling
From the quote or estimate, create a Work Order:
Assign to a staff member or team
Define date, time, and location (client property)
Include instructions, safety info, and client contact details
Attach relevant documents or compliance forms
Add associated products/services from the inventory
Purchasing for the Job
Generate Purchase Orders (POs) linked to the Work Order for:
Materials
Subcontracted labour
Define delivery:
To business address
Direct to client property (if applicable)
Upon receipt, convert to Purchase Invoices for supplier billing
All costs are linked to the job for accurate expense tracking
Sales Order for Product Delivery (If Applicable)
If client requires delivery of goods as part of the service:
Create a Sales Order from the quote or estimate
Schedule and manage delivery to the client's site
Track status and update the client via notifications
Execution of Work Order
Field staff:
Start the job via the app/dashboard
Log time and used materials
Upload photos, notes, or checklists
Mark tasks and entire job as completed
Updates sync in real time with the office team
Invoicing the Client
Once the job is marked complete:
Convert the Work Order to a Sales Invoice
Include any services, labour, and delivered goods
Attach any final documents, reports, or photos
Send invoice to client with card payment option enabled
